Full Version: Leaving Emails on the Server

people can download the same message from different computers. We have sales reps in different states, and I need it so that, whenever there is an order summary email sent to like orders@ourdomain.com, multiple parties can view each email through an email client. Right now, if one client downloads the message, than the person on the other computer, even if they have their client set to check the same email address, won't be able to download or access the same email. Does anyone know what I'm talking about?

It's done from the clientside.

In Outlook Express, everyone has to go to the properties of that email account, under advanced, check "Leave a copy of messages on server" and set how long it is to stay on the server.

There are a few ways to do this. Firstly, the main way most clients do this is to modify a setting in the mail client. If your team is all using Outlook or something similar and you can get them EACH to modify one small setting in their software, then you are good to go.

In Outlook (2000 or 2002?), go to Tools > Account Options > Mail tab. You will see a list of the email accounts under the Mail tab, then click on the specific account for this and choose Properties > Advanced > Delivery, and check the box next to "Leave a copy of messages on server". I'd customize this to be set to a number of days (like 5) so that thousands of emails don't pile up over time. This is specified on this quickguide here under #13 -

Instead of this option, you can give each sales representative their own email address and set up one ALIAS that forwards onto each of them. You'd remove the one email address and replace it with the alias.
